AI Can Write Your Listings. Who Checks Them?
AI drafts ecommerce listings in seconds, but accuracy, claims, and customer support still need human review. Here is how to build a reliable checking workflow.
Tuesday afternoon. You feed forty products into an AI tool and forty clean listings come back before your coffee cools. Feels like cheating. Thursday, a customer emails, very politely, to ask why the “waterproof” rain shell you sell was soaked through in ten minutes. Your supplier sheet said water-resistant. The AI rounded up.
That’s rarely a disaster. It’s a chest measurement that says 42 inches when the sheet says 44. A fabric lifted from last year’s version. A bundle listed as three pieces when it’s four. Small stuff, copied across forty listings.
Here’s the catch with fast content: drafting stopped being the slow part. Checking it, fixing it and answering for it didn’t.
Where The Hours Went
Writing a description used to take real effort. Now a draft takes seconds. But one product record can spin off a dozen versions across Amazon, Shopify, TikTok Shop and Etsy, and each channel has its own rules, character limits and quirks.
So the hours didn’t vanish. They slid downstream into review, cleanup and customer questions. Run a one- or two-person shop? Guess who gets them.
What You Still Have To Check
AI sounds sure of itself even when it’s guessing. So before anything goes live, I’d check four things. Claims first: waterproof, organic, BPA-free, certified, anything a customer could hold you to. Then specs, matched against the supplier sheet. Then price, stock and product names, which should agree on every channel. And channel rules, because what passes on Shopify can get flagged on Amazon.
You don’t need to read everything. Pull ten percent of each batch and compare it to the sheet. Two errors? Check the lot. None? Ease off a little next time.
It’s dull work, and that’s the point. Dull work with a checklist is the easiest kind to hand over.
The Rest Of Your Day
Listings are one slice. You’re also answering order-status emails, processing returns, replying to reviews and updating stock counts, often late at night. Most of it repeats, so most of it can go to someone else. Reviews are the one people skip. A short, specific reply to a three-star review can matter as much to the next shopper as to the person who wrote it.
Here’s a setup worth stealing. A Shopify home-goods store doing around 60 orders a day hired an assistant for order status, returns and product questions. The owner spent one afternoon writing saved replies and kept the big refund decisions for himself. Reply times dropped from a day to an hour.
Start Smaller Than You Think
Don’t hand over the keys on day one. Begin with limited access to the support inbox and order system, nothing else. Give your assistant a short knowledge base (shipping times, return policy, sizing, the questions you hear most) and templates for your ten most common replies. Read every single reply for the first week, even the dull ones. Add listing checks and order work only when support is running smoothly.
Track four numbers: first response time, ticket resolution time, refund and return rate, and repeat purchase rate. If the first two fall and the third doesn’t climb, it’s working.
And write your limits down. Decide what refund your assistant can approve alone and what comes to you. A rule on paper beats a judgment call at 11 p.m.
“Isn’t That Overkill For A Small Shop?”
It’s a fair question, and the math is kinder than you’d think. Ten hours a week handed off at a starting rate of $6 an hour comes to $60. Set that against the evening you’d otherwise spend on returns. You really don’t need a team. You need one reliable person for the repeatable stuff.
Where To Find Them
Two sensible routes. For a dedicated hire in support and operations, Globaltize can recruit a Shopify virtual assistant for your store and handle payroll and paperwork. If you’d rather have someone find and vet candidates while you stay in charge, Hire A Virtual Assistant runs the search, and you approve every hire.
The Philippines has deep ecommerce and support experience. Latin America gives you live overlap with US hours, plus Spanish-language support if your customers need it. Whichever you choose, run a small paid test first: ten real tickets and five listings to check.
Let AI Draft, Let People Decide
AI drafts fast. A trained person checks, corrects and answers customers. You make the calls that really need you.
Start this week. Pick the three tasks that eat your evenings, write down how you’d explain each, and hand off the first one by Friday. Your listings get better. Your Thursdays get quieter.
